Description

We are seeking an Executive Assistant for International Sales for our team in Bellingham, WA.  This Position will provide administrative support for the International Sales. Work under general supervision on projects involving independent judgment, initiative and tact. Report sales activities of all Alpha Group Power solutions sold via Alpha Technologies throughout Asia, Europe and Latin America to management.  Serve as a link between Alpha corporate operations and off-site sales management. Interface directly with select end-users.

 

Responsibilities:

  • Provide travel, administrative, and communications support for the SVP of Intl. Ops and Govt Relations and Sales teams including meeting scheduling, and note taking
  • Organize calendar for SVP; assist executive in routing correspondence and scheduling
  • Coordinate international team's invoices, expense reports, and travel visas
  • Print and distribute product promotional materials, including product catalogs, direct marketing pieces, news announcements and website releases.
  • Maintain inventory and re-order quantities of promotional materials
  • Interface with the team on salesforce.com and assist in entering sales leads
  • Assist SVP in making power point presentations for both internal and external use; gather information and prepare reports as directed by executive
  • Coordinate international sales team meetings, publish minutes of meetings and track progress of action items
  • Perform research projects on competition, technologies, and market sentiment as requested by SVP
  • Organize agendas for internal and external visitors
  • Coordinate customer visits, including prepare guest/visitor agendas and travel arrangements
  • Serve as liaison between departments
  • Setup and maintain filing system
  • Provide general assistance in other departmental duties as assigned
  • Work with marketing to execute product promotional activities for international outlets, including product catalogs, direct marketing pieces, press announcements and website releases
  • Promote the Alpha Group member companies through media relations; work with SVP on public relations and government outreach initiatives
  • Coordinate with marketing department on international marketing projects
  • Primary point person and coordinator of annual international sales meeting events
  • Coordinate with other member company marketing departments to produce unified Alpha Group brand and resulting collaterals
  • New employee training and integration

 

Requirements and Skills:

 

Education:   High School Diploma or equivalent

  

Experience:  2 - 4 years in field of: office administration

 

Supervisory:   N/A

 

  • Excellent record of attendance
  • Will work on-site (no tele-commuting)
  • Ability to speak/read/write English
  • Detail oriented with strong organizational skills
  • Work well under pressure
  • Current driver’s license and acceptable driving record
  • Strong written and verbal communication skills

  • Understanding of how international business is conducted

  • 2 year degree
  • Prior marketing work experience
  • Ability to speak, read, and write business Spanish
  • Basic knowledge and skills of customer service and accounting principles
  • Prior SAP and Saleforce experience
